BJJ Camp Policies

All deposits are non‑refundable. Deposits secure your spot and allow us to reserve hotel rooms, instructors, and event logistics.
Refunds for the remaining balance follow these rules:
Full refund of the remaining balance (not including the deposit) if requested more than 90 days before the camp start date.
50% refund of the remaining balance if requested 60–89 days before the camp start date.
No refunds within 60 days of the camp start date.
Instructor substitutions or changes do not qualify as grounds for refunds.
If the camp is canceled due to circumstances outside our control, all participants will receive a full refund of all payments made.

If you need to cancel your attendance:

You may transfer your spot to another participant up to 30 days before the camp start date.
Cancellations must be submitted in writing via email.

Pricing adjusts 90 days before the event. Early registration guarantees the best rate.
Failure to pay the remaining balance by the deadline may result in forfeiture of your reserved spot.
All payments are processed securely through Stripe. Receipts are emailed automatically.

Transfers must be submitted in writing and approved by camp staff. No transfers are allowed within 30 days of the event.

All participants must follow the camp’s Code of Conduct to ensure a safe and respectful training environment.

Safety Requirements
No intentionally dangerous techniques
No unsupervised sparring
Keep sparring on the mats only and nowhere else during your stay
Report injuries immediately
No training with open wounds or infections
Hygiene Standards
Clean gi and gear every session
Trim nails
Shower daily
Maintain personal hygiene to protect training partners
Behavior Expectations
No harassment, bullying, or disrespect
No intoxication during training hours
No disruptive behavior in shared spaces
Follow hotel rules and staff instructions
Media & Privacy
Respect privacy during training
No filming instructors without permission
No posting sparring footage without consent
Consequences
Violations may result in:
Verbal warning
Removal from training
Removal from camp without refund for serious or repeated violations

Photographs and videos will be taken throughout the camp for documentation and promotional purposes.
Participants may opt out of media use by notifying staff before the camp begins.
No filming of instructors or training sessions without permission. No posting sparring footage without consent from everyone involved.

Participants are responsible for their own travel arrangements. Weather conditions, including typhoons, may affect scheduling. If severe weather impacts the camp, we will adjust the schedule as needed.
If the camp must be canceled due to extreme weather, participants will receive a full refund.

By registering, participants acknowledge the physical nature of Brazilian Jiu Jitsu and agree to train responsibly.
Participants assume all risks associated with training, travel, and participation in camp activities. The camp, instructors, staff, and hotel are not liable for injuries or lost property.
A full waiver will be signed at check‑in.

If you are injured before the camp:
You may transfer your spot
You may roll your registration to a future camp
Refunds follow the standard refund policy
If you are injured during the camp:
Notify staff immediately
You may continue participating only with instructor approval

All official communication will be sent via email. Participants are responsible for checking email updates leading up to the event.

All instructors listed for The Okinawa BJJ Camp, including special guest instructors, are subject to final confirmation. While we make every reasonable effort to secure and maintain the announced lineup, instructor participation may be impacted by circumstances beyond our control, including but not limited to personal emergencies, illness, injury, travel disruptions, family matters, professional commitments, or other unforeseen events.
Should an instructor be unable to attend, the event will proceed as scheduled with a qualified replacement instructor. Instructor substitutions or cancellations do not qualify as grounds for refunds or partial refunds, as the camp’s curriculum, schedule, and overall experience remain fully delivered.
By registering for The Okinawa BJJ Camp, participants acknowledge and accept that instructor availability may change and agree to the terms outlined in this policy.
